Explaining bank import for credit notes

Question asked by Rachel Buxton 8 years ago

Hello

I have refunded an amount to a customer, so raised a credit note for the relevant amount and allocated to the appropriate invoice. However, when the refunded amount appears on the bank import, and i select Refund and the relevant school, the credit note doesnt come up for me to allocate it against. The amount refunded is showing on the aged debtors report as a negative debtor so i need to explain the refund against the credit note so that this negative debtor does not show.

Thanks

Hi Rachel - If you used the Refund tab on the bank explain screen then the system actually creates it's own internal credit note and pays it off, which is why you need to delete the "formal" credit note you sent your customer.

Also, you should not see anything on the Aged debtors report, but it will show as a refund on the customer's statement. If you can see a negative sum on the report then you may not have used the "Refund" tab?

Hi Rachel,

This is an irritating system limitation. You cannot currently allocate a refund amount to a credit note.

You will need to void the credit note and then allocate the refund amount directly to the invoice.

I hope that helps.

All the best.
