Year end companies accounts due - help please

Question asked by Karen Roberts 8 years ago

Hi.

We have had notification that our year end (July 16) company accounts is due to be sent to HMRC (yes we are behind with things)

We have only been running for 3 years (limited company) we do our own qrtly vat staff are - 2 directors and 1 employee

Our accountant has now asked me for: Company accounts bank statements wage records vat records.

Now I am being really thick...... What do I need to print off clearbooks to show all this (except bank statements) Our accountant wont use clearbooks so adding her is not an option. last year she questioned the bank balance figure but all our bank statements reconcile to the penny.

Help please.

Hi Karen

Seems a shame to give up a relationship just for something as simple as this, why won't your accountant login? If you do decide to find someone else, have a look at the directory here, you can sort by any of the column headings : https://www.clearbooks.co.uk/directory/

Don't think there's an actual report, again being cloud a lot of the info is for viewing online. You could give her access just to the Payroll, it's so simple??

You can go to each employee and look at the P11 print for each and try and print the page You can also go to the "HMRC Bills Report" on the main payroll menu which shows the breakdown of each month's PAYE payments. It's not very user friendly in that you have to expand each month before printing. Also, on mine I've just noticed that the deduction for Employment allowance is not deducting from the total, so there may be a bug!!

With the July year end you'll have to do the above for 2015/16 and 2016/17.

Good luck!!

I would have thought that your accountant would need the following assuming that he /she is not conversant with Clear Books.

  1. Copy of the year end Trial Balance.
  2. Copy of the bank account (S) transaction report. 3 Copy of the VAT account (s) transaction report.
  3. Copy of the wages / NI / PAYE transaction report.

You can get all of what I call "Transaction reports" by clicking on the appropriate year end figure on the Trial Balance report. Once your accountant has a copy of the Trial Balance he/she might want transactional detail of any balances they do not fully understand. From the Trial Balance they should be able to prepare draft accounts, adjusting any balance they might need to for accruals etc. they will probably be using an accounts production software package such as "VT" which is external to Clear Books, they will use an "adjusted" Trial Balance to prepare your accounts. The Trial Balance is a standard financial report on Clear Books. Clearly if your accountant had access they could "pull" all of this from Clear Books themselves. If you need any more detail please let me know.

Just to third the above, the whole point and major benefit of cloud accounting is that you and your accountant can collaborate, and letting her in to see the bank transactions and maybe sending her a print of the last month's bank statement, will save loads of time (and maybe fees?)

Cloud accounting will be the default (if it isn't already) and so, sooner or later, your accountant will have to get involved, especially when digital reporting hits in a few years, so encourage her to get stuck in, it doesn't bite and it's far easier to use than the old deskbound software.

Hi

Thank you so much for your help.

I think next year we will look at someone who will use clearbooks along side us as it will be a lot easier.

Can I ask........ Is there any way of printing a report to show all the payroll information she needs? I have printed of the salaries transactions but I presume she would need the breakdown of NI etc. How do I get this?
