Importing invoices from PDF?

Question asked by Fredrik Bernsel 8 years ago

I generate my invoices in Word, and create a PDF that I then email to clients.

Is it possible to continue using this process for invoicing, together with using ClearBooks for accounting? I would basically like to find a way to attach the original PDF invoice to a book keeping entry, and then enter the details from the PDF invoice manually. I am trying to avoid using ClearBooks' built in invoice generator, but not sure how to best do this.

Hi Fredrik,

Our sales invoice import tools only allow you to import data in CSV file format - you could potentially use a 3rd party conversion tool to convert your PDF to CSV and then import into Clear Books. I expect the file may need to be manipulated a bit - you can download a CSV template for the sales invoice import tool on the Tools>Import menu.

Hi Fedrik - I don't know any system that would suit you for this purpose, one of the biggest benefit of computerised bookkeeping is to generate an invoice and send it to the client in one operation. Producing invoices in word then duplicating the entry manually into bookkeeping is something that most businesses stopped doing many years ago.

In this case you could create a one line invoice in CB with a description, "see attached invoice" entering the total net, VAT & Gross then, when emailing it to the customer attach the PDF invoice you've created?

Bit messy.
