importing invoices

Hi all,

I'm looking to automate our monthly invoicing process and I've never really played with importing invoices to Clearbooks before. From what I can understand of it, I need to generate the invoice number from outside Clearbooks? Is there any way to get Clearbooks to generate the invoice number when I import it or will I always need to generate the invoice number on the app that's generating the output?

Unfortunately, you will need to specify the invoice number on the spreadsheet you're looking to import.

If I start generating invoice numbers outside of Clearbooks, will the web interface still generate numbers if I create an ad-hoc invoice though that? What I don't want to do is start generating manual numbers in one part of the system and it all jumps to manual numbers.

No problem at all!

And yes, invoices created via the UI will continue to follow the usual invoice numbering sequence. Also, if the software that will be generating the CSV is your own, you might want to look at using our API: https://api-docs.clearbooks.co.uk/

Hi Tommy, I think at this stage the API is going to be too much coding (and JSON burns too many braincells), however, am I reading the import schema correctly and that Clearbooks links the data we're feeding in to it based on client name? Guessing there's no means to use a client reference instead? In my mind it makes more sense to use the External ID field within Clearbooks for this to avoid a very big margin for error (and abbreviations which exist in our guard management software whereas the accounts system has formal legal entities).

I may be reading it wrong, the documentation on this seems to be a very basic overview of the feature.

I'm loathed to start playing with this when we're in a production environment and don't have the luxury of a sandbox, but at the same time, it's going to save me a good few hours each month to get some integration on the go.
