Flat Rate Scheme and cash based turnover

Question asked by Abdul Hamid 6 months ago

Hi

We have registered for Flat Rate Scheme with an effective date of 02/06/2025. We are using the cash-based turnover method.

I allocated a payment ( received on day 14/06/2025) from a client to an invoice that was issued in April 2025. Since we are using the cash basis, I was expecting the gross amount of the invoice to be included in the vat return. However, in Clear Books, it is showing as excluded from VAT.

How can I rectify this issue ?

Thanks

Hi Abdul,

Could you please click the Question mark at the top right > Send us a message including the company name and invoice number in question?

Thanks,

Tommy

I have just done that. Where will I receive the response? I can't see an inbox or even my message after I posted it.

Hi Abdul,

I can see you submitted a ticket on Friday where I had sent the following response shortly, please see:

As the invoice is dated pre-registration with no VAT, it will not be included on the VAT return regardless of the payment date as it is the time of the supply that determines if VAT is due.

For the Fuel account code, this is a custom account code where you have selected Exclude from VAT return, the system is throwing an error message, you can hit save to override the warning. Alternatively, if you head to Settings > Account > Account codes > You can edit the Fuel account default VAT rate.

Thanks for your reply. We are using cash-based turnover (FRS), we should account for VAT when the payment is received even if the invoice is dated before registration.

Is there a workaround, or do I need to do a manual adjustment for BOX 1 & BOX 6 ?

Thanks

Hi Abdul,

No problem, if you believe this is the case, you can raise this via a journal under Tools > Journals > All journals > Create journal. For examples, please see the following guide.
