porforma invoices and quotes

Question asked by jabbir ahmed 10 years ago

Hi How can I create quotes and proforma's without actually creating a customer profile. We need to be able to create quotes and proforma's to random customers. Is this possible in clearbooks.

Thanks

Jabbir

Hi Jabbir,

Yes it is - having looked into this a little further, you can leave the customer name blank by pressing the space so it registers a character even though no name is given. It will then be saved as 'Contact Number' with a randomly assigned number (eg. 22) on the system.

However when raising an invoice/quote etc it will be blank so can be issued to any customer.

Hi Berhan Would it be possible to walk me through this?

Hi Jabbir,

Yes no problem. Please copy the web links in the steps below to see screenshots of illustrating some of my points.

  1. Head to Sales > Customer > Add.

  2. In the Customer field enter a blank space by pressing the spacebar. As it is a required field the system needs to register that a character has been entered. : http://prntscr.com/4667kx

  3. The customer will then appear in the customer list. In this case it is Contact name 33: http://prntscr.com/4669km

  4. Click on the customer name and then create invoice: http://prntscr.com/466a26

  5. Create the invoice and save it. You will notice that the customer drop down remains blank. Now click the PDF icon or view icon. The invoice will not have a customer name on it: http://prntscr.com/466ar7

When creating a quote follow the same procedure. There should be a blank entity on the drop down list. You can select this to bring up the 'blank' customer: http://prntscr.com/466b2j
