Posting a journal which adjusts VAT

Question asked by Chris Macleod 10 years ago

I want to journal the VAT element within the 45 pence a mile motor expenses, as follows:

CR Motor expense, DR Input VAT

In such a way that it adjusts the VAT return. This is easy peasy in Sage, SAP and VT to name but three. But although the journal has posted fine, I can't get it to adjust the VAT return. Any ideas out there?

Overall in my view the VAT module is seriously flawed and unless in expert hands - i.e. with manual over-rides for missed transactions - will not result in VAT returns which will pass detailed HMRC inspection.

Hi Chris

I presume you've ticked the 'include in VAT return box' within the journal itself? I've justed tested it in the demo and it seemed to work fine.

Outside of that i'd be stumped.

Do you not use the mileage expense claim option? Handles the VAT automatically then.

Yes that box was ticked, thanks. Not only that, my client has posted various credit notes with the "include in VAT return" box ticked and they are not included either. I picked this up because the sales per the VAT return for the quarter was different from the sales in the trial balance.

The client was unaware that the 45 pence per mile included VAT which could be claimed, so this is a one-off adjustment covering the last 4 years. Also, because getting the VAT right is quite fiddly I'm not sure that asking the client staff to do it on each and every mileage posting is the right approach. So much easier just to post one journal per quarter and then sense check that the VAT is roughly 3 pence per mile.

That has worked, thanks. I'd posted to VAT payable not VAT control.

Easily done, especially when each software house refers to the various VAT accounts differently (it took me a while to understand why nobody else referred to deferred input/out when leaving VT!)

Hi Chris & Kevin,

Thanks Kevin for your comments on the post, they are very much appreciated as always :)

Do let us know if you require any further assistance Chris.

Wishing you both all the best,

Shaz
