Announcement: Multi-line income and expenses in bank explain

News posted by Tommy Chung 2 months ago

Hi all!

When explaining bank transactions, to simplify the process of splitting a new income or payment record to different account codes, we have introduced multi-line entry.

Multiple line items

When explaining a bank transaction as a new income or new payment record, there is a new option to “Add line item”.

file

Use this to split the record into multiple amounts posted to different account codes. Each line item can also have a different description and VAT rate (if applicable).

file

When you have more than one line item, you will also see the total of the line item amounts, and any remaining amount of the current transaction that needs to be explained.

file

Line item amounts can be negative or positive. For example, a fee deducted from income would be entered as a negative line item amount on a new income record, to reduce the full income amount to match the amount received into the bank account.

file

Use the “Save” button as usual to complete the explanation and the details column will describe the transaction as “Multi-line items”

file

Summary field

When recording new income or payments, there is a new summary field available.

By default this will use the description entered on the first line item but you can manually enter a different summary if required.

file

Multiple transactions

When explaining a bank transaction, you can still record multiple different income or payment records. These may contain a single line item or multiple line items.

If the current income or payment entry does not explain the full amount of the bank transaction, you can use the “Add receipt” or “Add payment” button to record the current entry as its own record.

file

The first record will be shown in the allocation table and some or all of the remaining amount can be recorded as a new record.

file

When the full bank transaction amount has been explained, click the “Save” button to complete the explanation and generate the separate income or payment records.

We have resolved the issue that meant any negative receipt/expense required, had to be added first.

You can now start with either a negative or positive receipt/expense, even when the positive amount is greater than the bank transaction amount. The following transaction will continue to default to the amount that needs to be explained, including when this is a negative balance.

Here is a screenshot with the separate parts using different contacts.

file

Whilst creating the screenshot I noticed that there is a bug which means you have to add the negative amount first, like you had to prior to this update. We will get this resolved so you can add either negative or positive amounts first.

In that case just use the same method as before. Explain one part using one contact and account code and click Add receipt/payment button. Then put the different contact and account code in for the second part of the transaction and click Add receipt/payment button. Then click save. You will have generated two distinct income or expense records exactly as before.

Thanks for the rapid reply, but it still seems that now the WHOLE bank transaction has to be recorded against either a single customer or a single supplier account. The positive and negative amounts can be allocated to different income and expense codes but there is no way to allocate half to an account for each owner of the property. This was easy to do with the previous system because each line item could be allocated to a different customer or supplier account. Now it seems you have to allocate the whole transaction to a single customer or supplier even though it can be broken up into separate line items.

hi Katherine.

The previous functionality is still there. Please read the section "Multiple transactions" above. https://secure.clearbooks.co.uk/community/news/29093/announcement-multi-line-income-and-expenses-in-bank-explain/#reply-29253:~:text=Multiple%20transactions

You can do exactly what you were previously doing. We have just introduced a way of splitting bank transactions across different account codes without needing to generate separate income or expense records for each different account code, and reloading the bank explain page each time.

"This is a significant change meaning that I can't enter deductions made by managing agents against gross rental income through the Explain Transaction process."

I also wanted to point out that this update actually means you can now create a single income record for the net rental income. Simply add one line item for the gross income and one for the agent fees. There is an example screenshot of this here: https://secure.clearbooks.co.uk/community/news/29093/created#:~:text=a%20fee%20deducted%20from%20income

I was happily using the multi-allocation approach to split income and expenses between two accounts on a jointly owned property. Now I have no idea how to carry on maintaining the same records I used for my last MTD report. And I only have a short time before my next MTD report is due. This is a significant change meaning that I can't enter deductions made by managing agents against gross rental income through the Explain Transaction process. Instead, it seems I will now have to create a bunch of invoices and bills whose sole purpose is to enable matching with the bank transaction. Ease of use was the best thing about Clearbooks, but now it has become considerably more complex and time-consuming. Was this even user-tested? Please bring back the previous functionality!

So does this new feature replace the 'Multi-part Allocation' tag which appeared in the 'Explain bank transactions' list and now appears as 'Multi-line items'?

Regards, Richard.

Hi both,

Thank you both for the valuable feedback. I’ll pass this on to our Product team for review.

We will make sure to take your comments into consideration for future improvements.

I hate this redesign. The most important info is not front and centre, its not under loads of less important information for reconciling. It should be the otherway around. I need Amount, Account Code, VAT, Total above all the other less important info like summary and project - why can't it be the layout it was before . Basically all that is now on the right should be back on the left hand side and all that is on the left should go back on the right hand side. Its like it was redesigned by someone who has never had to reconcile hundreds of account lines. Your eyes move right to left not the other way around. Please amend the layout. Basically I agree with Ion Sula above.

Can you redesign the transaction processing screen to display of the left and under each other the following information and under a much narrower and logical design: Account code: Amount: VAT rate: As per - VAT treatment, Payment method; Summary they can go to the right

This has made the processing of transactions a lot worse. The display of information has moved from a normal screen into a big screen in which you have to scroll down to select save. Working from a laptop has become a nightmare having to scroll up and down to view the screen for just one transaction. Scroll down and you lose visibility for top information about transaction. This is a stupid idea to change the display of information from a narrower view to a wider view and throwing the information about the account into a total ilogical view. I will consider moving to other software if this stays one as it is annoying
