Unpaid DRC transactions are getting locked after VAT submission

Hi,

Are Purchase Bills meant to get locked after VAT submission even if they haven't been paid? Not even partially?

Since clearbooks has no capabilities to accommodate for MCD's, retentions, etc I'm running those through seperate transactions that stay open for 12 months until end of defects period, but i cannot edit them anymore, where i used to be.

Hi Miles,

If you are on invoice accounting then yes. It is meant to lock once a VAT return is submitted even if it is not paid. Are you on invoice account?

Just to clarify in fact. The DRC is always on an invoice accounting basis also.

Right, I'm sure that has not been the case up until now. Anyways, so best workaround for time being is to exclude the transaction from VAT return?

I would suggest excluding, but it should be submitted on the invoice date for the most part.

How is DRC different in that respect from normal VAT transactions? Those don't get locked (JUT CHECKED :) ).

Hi Miles,

The DRC is always treated on an invoice accounting basis whereas normal invoices may be treated on a cash accounting basis depending on your VAT scheme. This would be the reason for the difference.

I'm a bookkeeper, not accountant, my knowledge is limited here.

So, i believe we are meant to be Invoice based, so if i'm creating transactions that are just meant to be on the system to be aware of them, but not to do anything with until some time into the future (usually 12 months), I'm best to make it out of scope of VAT and exclude from VAT and then at a point where this transaction actually becomes relevant include it either normal VAT or DRC and it will be submitted with that return?
