Stock items

Question asked by James Cartwright 10 years ago

I currently have a spreadsheet containing stock and would like to move it all in to clearbooks.

part of my business is making guitar cables. I keep a record of all of the components and their cost price. I also have stock of cables I made up and are ready to be sold. I would like to know if it is possible to link the components to an product so it automatically calculates the cost price rather than having to update each item separately if the component costs change.

I've seen this in action on a different pc accounting package, (no idea which one) but can't figure out the stock management in clearbooks.

Hi James,

The stock tool in Clear Books is fairly basic at the moment. You can import your stock into the system so that you can select it when creating an invoice or bill.

The guide below explains how to set up stock items within the system, however if you have CSVs containing all your stock items you can use the import tools on the Tools > Import menu.

The stock tool will keep a track of the balance of each item and there is a report to itemise how much stock is being used on each invoice.

A number of limitations of the stock tool are that currently you are unable to import an opening balance for each stock item. We do not currently have a feature to value your stock - a stock valuation will need to be run manually using journals. Finally you cannot currently have one sale item made up of multiple purchase items i.e. the items are all separate and cannot be combined. These problems are all to be reviewed when the stock feature is next updated.

Hi James - CB doesn't have what is known as a "Bill of Materials" feature to breakdown finished stock into its component parts. Similarly, it only records stock numbers and not cost.

Having said that, these functions have been requested a number of times now and have been added for future development but full stock functionality is a large project and so there's no timetable at the moment.
