SOLE TRADER - HELP

I am a sole trader (consultant engineer) for +10 years, I have always done my own tax return, my returns are very simple , 10 to 15 invoices a year. I have spent the best part of a day trying to understand/use clear books. I tried to call the telephone help line but my mobile wouldnt allow it as it is premium rate line!! So can anyone answer the following in simple terms please: 1)I have a business bank account but I do use it occasionally it to pay private bills, such as repairs to a car, are these known as "personal transactions" on the imported bank statement, and if yes will this mean that the software will ignore it for tax purposes? 2)The opposite of 1) above, I have a couple of legacy bills that are paid from my private bank account (telephone, internet, and car insurance for example) that I have in the past just put the invoice in for them in the tax return and this has been allowed, how do I do this if they do not show up on the business account? 3)I pay my wife and I a salary from the business account, what do I use in the drop down boxes when trying to explain these transactions as I cannot find one that says salary etc That all for the moment, I am sure that there will be many more!

Hi Simon,

No problem at all, and unfortunately, we are unable to advise on the account code I'm afraid. If there isn't a default account code, you can create your own custom code under Settings > Account codes > Create account code.

Otherwise, you can mark the transaction as a personal one, or select Drawings which will have the same effect and exclude this from your Quarterly calculations.

Many thanks, I had already input the transaction explanations so I couldnt at first see how to input attachments, finally I have realised you have to click on the blue highlighted text in the details to edit the transactions :)

Im on the home stretch, I hope:

What Account code would you assign to a refund payment , for example from HMRC, I have gone through all account codes in settings? as the software says it is unassigned.

Hi Simon,

For 1 and 2, when explaining the bank statement, you can click Manage Attachments to attach the PDF, please see the example below:

For your Clear Books subscription invoices, you can find this under the Building icon (top right) > Subscriptions > Billing history.

Next lot of queries!

1)As I create manual invoices to my clients and I am staying with this method! how do I input them (they are PDF's) so they can be tied in with the bank statements. 2)Ditto with regard to expenses such as bank charges, internet access, phone bills, they are all PDF's. 3)Do I have to input the invoices for Clear Books, as the bills are paid from the business account, BUT I do not have any invoices from clear books, I have checked my emails etc. I presume they are buried somewhere in the website?

Please understand I am not being lazy, I have spent the best part of 2 days trying to use the software (prior to which I spent a full day just getting the software to link in with HMRC), I have read through what help guides I can open (Using windows 11) and watched youtube videos, but everything I seem to be struggling with is either not explained (it is assuming you know) or its my lack of understanding!

But, What is the telephone number as the only one I can find is 0844 816 0616 which is a premium rate number, I cannot find any numbers on this website?

I will try and work through the solutions you have given above, but to be honest they still dont make sense!

Hi Simon,

Our support line is a standard local London number.

  1. Yes, you should click the Person icon on the right hand side to mark these as personal transactions which will be excluded from the Quarterly calculations.

  2. In this case, you must head to Dashboard > Bank accounts > Add account > Select Owner's funds account. Once added, you can then raise these expenses via the Dashboard > Manually record expense button. You can then select the Owner's funds account in the Paid from dropdown.

  3. For salaries, you must enable the account code by heading to Settings > Account codes > Tick the Show in Purchases for the Salaries account. Once completed, you should be able to select this in the Account Code dropdown.
