Importing Receipts as Paid Bills

Hi everyone,

With our credit card provider (Capital on Tap) now importing transactions daily into Clear Books, we are looking to optimise our live spend workflow for our frontline operatives (handling ~100 transactions/week).

We need operatives to take a photo of their receipts on the mobile app at the point of purchase, link them to specific Projects, and type a quick Summary so we can reconcile live on a daily basis.

However, the "Bill from Photo" section is the only area on the app that natively allows them to select Projects and add custom Summaries upon upload. The "Bills Inbox" doesn't allow for custom notes at point of submission. Our Dilemma: We cannot give frontline staff full access to the "Bills" section due to financial visibility and security risks. Our Question: Is there a way to set a restricted, "one-way" permission sync for the mobile app? Specifically, we want operatives to use the app to create a bill/expense with a Project name and Summary, but without granting them user permissions to view or edit the wider company bills and financial histories.

If this isn't currently possible, what is the best workaround to capture project names/summaries instantly without exposing full bill history to the team?

I guess you could say they need to submit receipts for review so maybe a way to create a draft bill? Thanks!

Hi Gareth,

Unfortunately, this is not possible at the moment. The workaround would be to enter the project and summary when reviewing the bills.
