How to Allocate Imported Bank Credit to existing Purchase Credit Note

My supplier gave me a credit note after I cancelled a service.
We had already paid in advance so the original purchase invoice has been paid.
Now I have a credit in my bank account and I don't seem to be able to allocate using the Bank Import in the same way that I can allocate customer receipts or supplier payments.
How so I 'explain' my bank account entry as being for the PCN

As an accountant, who has not coded anything for over 30 years, that was my question, but since I've been working with CBs I've come to appreciate how much work and checking has to go in to even the simplest of changes. In other words, what you & I see on a screen may bear no resemblance to what has to go on under the table to make it work.

The refund tab is specifically designed to mimic a credit note & matched refund and is a simple solution, that most users follow, but I agree there should be the traditional route of entering a credit note and paying it off. An alternative, I suppose would be to enable the attachment of a credit note document (eg PDF) to the refund entry.

I have no idea on timescale I'm afraid but will ask.

Hello Peter,

At the moment, we are unable to allocate a bank import line to a Credit note on the system. We are looking at adding this in the future but at the moment the feature is not available.

In order to account for this, please continue explaining the bank import line as a refund and it will allow you to allocate it to the supplier. Once you do this, you will need to delete the credit note.

Thanks. This seems to be a fairly fundamental requirement and a bit of a glaring hole. How long have you been aware of this and how long do you think it will take you to "look at this"? What happens if I have already signed off the VAT return that has the Credit Note included?

Hi Peter - this particular issue came up internally about a month ago. We have been looking at the whole area of bank explanation, including unallocated cash, payments on account, paying off credit notes and dealing with adjustments for forex, commission & bank deductions etc in an effort firstly, to bring in functionality previously missed, and secondly to make the processes easier and more intuitive. So all I can say, at the moment is watch this space.

In the mean time, if you want to leave the credit note in situ, say because it's been VAT returned, then the best route is to raise a dummy bill for the gross amount, outside of VAT, putting the cost to say suspense (or where the original cost & credit note ended up) and use the credit note to pay it off. Then post the bank receipt, as a transaction, again outside VAT, to the same account code. If the account code is not visible from the drop down list then you'll need to tick the "Show in Sales" check box in the Codes list.

Explain mechanism improvements are due later this year. The project will hopefully kick start in July and is the biggest one for us this year.

It is an involved, complex and critical part of the system - so getting it right will take some time. I've added this post to the requirements document and will definitely account for this scenario in the proposed design.
