importing statements - how to avoid duplicating entries?

Question asked by Jonathan Mason 11 years ago

New user, not done this yet. Rather than wait ages for a statement to be issued, I want to import bit by bit each week or so, but am concerned I may end up duplicating the imports - is there functionality to prevent this happening? and how...? thanks.

Hi Jonathan,

The easiest and quickest thing for you to do, is to use Yodlee. This is a third party service we are linked with and once subscribed, it will import your bank statements into into Clear Books on a daily basis (and only add new transactions).

Please see this guide for more information on Yodlee: http://www.clearbooks.co.uk/support/guides/integrations/how-to-set-up-yodlee/

I hope this helps,

Thanks Chris

Thanks guys. Or, it would seem much easier to simply avoid the duplication in the first place by removing the offending lines from the .csv file, and thus not importing them!

Hi Jonathan,

If you import a statement using our own import tool and the statement is overlapping with another you have previously imported, the system will display a warning message as soon as you have imported.

file

What I would like to happen is for the system to then suggest which transactions are overlapping and offer to delete them for you.

Unfortunately this doesn't happen at the moment so you will have to manually remove the transactions that are overlapping from the imported statement by clicking on the Narrow Results link -

file

The system will then show you the statement you have just imported at the top, a Narrow down option in the middle and a list of all your previously imported statements at the bottom.

file

Use the Narrow down date range to select a range of dates not including the overlapping transactions so for example from the screenshots if I had already explained the 1st and 2nd of September I would select 3rd Novemeber to the end date. Hit the Narrow Results button to work its magic.

I have this problem all the time. I much prefer importing statements rather than Yodlee. One of the ways is to import between specific dates and up to say yesterday to avoid overlaps. But I do feel Clearbooks should handle this much better. I think there is an idea somewhere to improve this so suggest voting for that.

Thanks Chris. And if I don't want to use another subscription service, surely Clearbooks does this function itself?
