Mileage expenses

Problem reported by carl 9 years ago

Hi,

I have created a mileage expense. But instead of paying myself I want to put the money back into the business and add it to my directors loan. How do I do this?

The whole expense/approve process is a bit long winded if it's just you but the system's in place to ensure employees can use it too.

As for having to 'pay' the bill to the DLA - the only other thing you can do is go to Settings > Toggle > Inv & Exp then select 'adhoc payments' under the expenses section. If you do the any mileage/expense claim will automatically be journalled to a specific balance sheet a/c (to be drawn at a later date) instead of creating a bill which then needs paying.

I personally like the whole 'bill' scenario but as with many things in Clear Books there's more than one way to achieve the same goal.

Bingo. Just jump into the bill and use the Quick Pay feature to pay it off using the DLA - job done.

You can also use the same principle for other expense claims, salary payments and even dividends should you so wish.

ok i think i got it now.

It seems a lot of steps for something quite simple. Also i would have thought clearbooks would auto-fill obvious data

Thanks for your help

Yes, it does show as a back account.

Yes, it has created a bill, so i need to pay the bill

Not stupid at all. Two questions:

1) is the DLA setup as a bank account? i.e if you click on Money does it appear under the bank account list? 2) when you approved the mileage did it create a bill payable to you?

Hi yes I have a DLA setup by my accountant.

Sorry to sound stupid, I'm just getting my head around Clearbooks.

Once approved how do I pay it to the DLA?

HI Carl

Pay the bill to the DLA bank account (on the presumption you have one).
