Payroll Import - Gross Pay + Post Tax Deductions

Hello, i have 2 queries on the payroll (i am currently trialing CBs)

Importing payroll into accounts I was surprised that when this import occurred that NET pay was transferred to salaries and the PAYE was sent to its own code. Now i have managed to move the taxes into salaries so it adds up to the gross pay, but would prefer to have the gross pay imported as 1 figure + employers costs such as NI. Can this also be imported as 1 figure for all employees as the TB seems to add the totals individually. This is a bit of a hazard with confidentially if pay details are available on the nominal ledger when they should really stay in payroll.

For example, the import would transfer £100k to Gross pay (thats gross pay for all employees) and then £13.8k to Employers NIC for one monthly payroll. The PAYE liability would then go to the balance sheet as an amount owing

Employee Savings We operate a scheme where employees can have a set amount deducted and we hold it as a savings scheme. They can withdraw it later. This is a post tax deduction. I have added it successfully to the payslipl, but due to the issues above it does not seem to import. I need this to be transferred to a balance sheet account (i.e. Employee Savings).

Are any of these possible?

Hi Chris,

You can restrict access to accounts only and not payroll, we also hide any transactions relating to an employees pay from any user marked as an employee also.

Unfortunately, we are not able to combine into one with our automatic import. I do apologise.

I am afraid that it is not possible to amend the way that the system imports the details into accounts. It would always do so as net pay and then NIC/PAYE. I do not quite follow the confedentiality issue you mention. Do you mean for other employees seeing this detail on the nominal ledger?

For the post tax deduction, I believe this is only recorded on the payslip and just not recorded in accounts at all as it would simply be money not paid to the employee for one reason or the other. Please let me know if I can assist further.

Yes you are correct re confidentiality, although unlikely (and i haven't looked at user rights for accounts / payroll yet) but there could be situations where you have users processing who are not privvy to employee salaries. However, the transaction on the TB clearly shows name and amount etc.

I dont know if CB can allow user access to accounts only and not payroll. If not then its probably not a relevant point.

This query originates from the fact our current software combines salaries into one figure before import so we were hoping for something similar.

Sorry, thanks for the info on the deductions too. The only way round it would be to post a journal after import i guess.
